Chatbot or AI assistant: what is the difference?
Older chatbots follow a fixed script of buttons and set answers. They are not really AI, and they frustrate customers when a question does not fit the script. An AI assistant uses generative AI to understand and reply naturally, RAG to answer from your own information, and agentic AI to take the next step, such as booking a visit.
Website chatbot and AI assistant
A chat window on your website that answers visitors, day and night, and turns questions into enquiries.
- Generative AIWrites natural, friendly replies instead of fixed menu answers.
- RAGLooks up your own services, areas, prices and policies so answers are accurate.
- Agentic AICollects the details, checks your calendar and books a visit or call.
Example: A visitor asks at 10pm whether you cover their town and can fit them in this month. The assistant answers from your own information and books a slot.
- Why it matters
- Many enquiries arrive outside working hours, and visitors leave if they cannot get an answer.
- The value
- Questions answered and enquiries captured at any hour, with the details ready for you in the morning.
- If it is ignored
- Out-of-hours visitors leave for a competitor who answers straight away.
Voice agent (AI on the phone)
An AI that answers or makes phone calls in natural conversation, in your business name.
- Generative AIUnderstands the caller and replies in natural speech.
- RAGAnswers from your own services, prices and policies.
- Agentic AIBooks the appointment, transfers to a person or sends a payment link during the call.
- AlsoPlus speech recognition and a natural voice, connected to your phone system.
Example: A caller rings while you are on a job. The voice agent answers, takes the details, books the visit and texts you a summary.
- Why it matters
- Missed calls are often missed jobs, and many callers will not leave a voicemail.
- The value
- Every call answered, routine calls handled end to end, and every call summarised for you.
- If it is ignored
- Callers who reach voicemail ring the next business on the list.

Inbox and email assistant
Sorts incoming email, drafts replies and makes sure nothing important is missed.
- Generative AIDrafts replies in your tone for you to check and send.
- RAGUses your own terms, prices and past answers so replies are consistent.
- Agentic AIFiles messages, creates tasks and flags anything urgent or unhappy.
Example: Overnight emails are sorted into enquiries, suppliers and invoices, with draft replies waiting for approval.
- Why it matters
- The inbox is where enquiries, invoices and complaints get lost.
- The value
- Less time on email, faster replies and nothing urgent buried.
- If it is ignored
- Slow replies, missed opportunities and evenings spent catching up on email.
Quote engine
Produces accurate, priced quotes for your standard jobs in minutes, then follows them up.
- Generative AIWrites a clear job description from your site notes, photos or a voice memo.
- RAGPulls the right prices, materials, terms and guarantees from your own price list.
- Agentic AISends the quote once you approve it and follows up if there is no reply.
- AlsoPrices are calculated by fixed rules you set, never guessed by AI. You approve every quote.
Example: You record a two-minute voice note on site. A priced quote is ready for you to approve before you reach the van.
- Why it matters
- The fastest clear, accurate quote often wins the job.
- The value
- Quotes out the same day, consistent pricing every time and follow-ups that never forget.
- If it is ignored
- Quotes typed late at night, prices that vary by who wrote them, and work lost to faster competitors.
Proposal engine
Builds a tailored proposal for larger or more complex work: the problem, options, scope, timeline and price, ready to send as a professional PDF.
- Generative AIWrites the proposal in plain English around the customer's needs.
- RAGDraws on your services, past proposals, terms and examples so every proposal is accurate and on-brand.
- Agentic AIAssembles the document, sends it, notices when it has been opened and follows up at the right time.
- AlsoPrices still come from your own pricing rules, and you approve every proposal before it is sent.
Example: After a site visit, a branded proposal with two options and a clear timeline is ready for your review the same afternoon.
- Why it matters
- Bigger jobs are won on clarity and confidence, and writing proposals by hand takes hours.
- The value
- Professional proposals in a fraction of the time, consistent quality and fewer deals lost to silence.
- If it is ignored
- Proposals that take days to write, look different every time and are never chased.
Digital sign-off and order confirmation
Lets your customer accept the quote or proposal online, then starts the job automatically.
- RAGAttaches the correct terms, scope and price from the agreed quote or proposal.
- Agentic AISends the order confirmation link, chases if it is not signed, then takes the deposit, raises the invoice and books the job.
- AlsoPlus secure online signing, a card or Direct Debit deposit through Stripe and the invoice created in Xero.
Example: The customer clicks "accept" on their phone, signs, pays the deposit, and the job appears in your calendar with the invoice already in Xero.
- Why it matters
- The gap between "yes" and a signed order with a deposit is where jobs stall or are lost.
- The value
- Customers say yes in one step, deposits arrive straight away and nothing has to be retyped.
- If it is ignored
- Verbal yeses that never turn into signed orders, late deposits and paperwork chased by hand.
Document and data extraction
Reads invoices, receipts, forms and certificates and pulls out the details automatically.
- Generative AIReads and understands documents in different layouts.
- Agentic AIChecks the details and enters them into Xero, your CRM or job software, flagging anything odd.
Example: Supplier invoices emailed in are read, checked against the order and posted to Xero for approval.
- Why it matters
- Retyping paperwork is slow, dull and where costly mistakes happen.
- The value
- Paperwork handled in minutes with fewer errors and a clear audit trail.
- If it is ignored
- Hours of data entry every week and mistakes that surface at year end.
Staff knowledge assistant
Lets your team ask questions and get answers from your own procedures, manuals and past jobs.
- Generative AIExplains the answer in plain English.
- RAGFinds the answer in your own documents and shows where it came from.
Example: A new starter asks how you handle a warranty call-back and gets your procedure in seconds.
- Why it matters
- Knowledge often sits in a few people's heads, and new staff interrupt them to find it.
- The value
- Consistent answers, faster training and less dependence on one or two people.
- If it is ignored
- Experienced staff constantly interrupted, and knowledge lost when they leave.
Reporting assistant
Pulls your figures together and explains what changed each month.
- Generative AIWrites a short plain-English summary of the numbers.
- Agentic AIGathers figures from your website, CRM and Xero on schedule.
Example: On the first of each month you receive a one-page summary of enquiries, conversion, cash and what to focus on next.
- Why it matters
- Most owners do not have time to pull the numbers together, so decisions rely on gut feel.
- The value
- Clear figures and a suggested next step every month, without the spreadsheet work.
- If it is ignored
- Problems spotted late and money spent on things that are not working.
